Manage Distribution Centers

Each distribution center has a unique owner and password. Distribution centers appear on the Location Management menu when the System Administration user has the permissions to manage the center.

Center Setup

The Center Setup menu allows you to add, remove or change all distribution center options, create or modify a distribution schedule, upload self-designed artwork for angel tags, and change the center's owner and password.

Add a Center

  1. Click the Location Management tab, then click Center Setup
  2. Click Create New Center
  3. Type the Distribution Center description, street address, city, state, zip and contact telephone. All of this information is used on appointment cards and angel tags and is required before clients can be assigned to the center.
  4. The Blank Application file name will be blank. Do not type anything in this field. Either upload a new file from files on your computer by clicking Browse, then Click Upload New Form or choose a file already on the server by clicking the server selections.
  5. Define the age cutoff dates for children and seniors by typing the age and selecting the date on mini calendar.
  6. Choose the toy shop option (yes or no), appointment assignment (automatic or manual), and adoptor anonymous (yes or no) that are appropriate for the center's operation.
  7. Choose the appropriate angel tag options that will be printed on the tag: the date when gifts should be returned (required), the angel tag title (optional), and where artwork should appear on the tag (optional).
  8. Choose the floor organization (appointment time or family id).
  9. Set food options: food provided (yes or no) and food provided for food stamp clients (yes or no).
  10. Choose whether the appointment card box at the top right corner should be displayed and its contents. This box can be helpful in quickly determining how the client is handled at distribution time.
  11. Type an alternate food pickup location if needed. This will be printed on the appointment card for a food-only client.
  12. Type appointment card instructions and any warnings, english and spanish versions (optional) that will be printed on the appointment card.
  13. Type the new password for the center twice, then click Save Changes when you are finished.

Change Center Information

  1. Click the Location Management tab, then click Center Setup
  2. Select the center you wish to change by clicking the button next to the center, then click Edit Center
  3. Change your options
  4. Type your center password
  5. Click Save Changes

Managing a Distribution Schedule

The Distribution Schedule Menu displays all of the times currently in the schedule and allows you to either create a new schedule, or add or remove a time.

  1. Click the Location Management tab, then click Center Setup
  2. Select the center you wish to change by clicking the button next to the center, then click Manage Distribution Center.
  3. Click the button that applies to the change you wish to make (Create New Schedule, Add Time, or Delete Selected Time). In order to save changes to any of these options, you must enter the center password.

Create New Schedule

  1. Click Create New Schedule displays starting time, ending time and interval choices for 3 regular days of distribution and 1 day of Food only times.
  2. Click on the calendar icon to set dates or use the selection boxes.
  3. Make your selections, type the center password, and click Generate New Schedule

Add a New Appointment Time

  1. Click Add Time
  2. Choose a date, time, and appointment type for a new time to be added to the schedule.
  3. Make your selections, type the center password, and click Save Changes.

Remove an Appointment Time

  1. To remove a time, select the time by clicking the button in front of the time to be deleted.
  2. Click Delete Selected Time
  3. Confirm the delete by typing the center password, then click Confirm Delete.

Upload Artwork (optional)

  1. Click the Location Management tab, then click Center Setup
  2. Select the center you wish to change by clicking the button next to the center, then click Setup Angel Art.
  3. If you have already selected an art file, its image and name will appear on the screen.
  4. To specify a new file, click Browse to upload a new from your computer OR click the selection list of art already on the server.
  5. Type the center password, then click Save.

Center Owner and Password

  1. Click the Location Management tab, then click Center Setup
  2. Select the center you wish to change by clicking the button next to the center, then click Center Owner/Email Password.
  3. If you are changing the center owner, choose a user from the choice list.
  4. If you want to change the password, type the old center password, then type the new password twice.
  5. Click Save Changes when you are finished.
  6. If you need the password, click Email My Password and it will be emailed to the center owner.
